Map the process first
Write the existing task as a sequence: an inquiry arrives, staff identify the subject, relevant information is collected, and a reply is prepared. Mark which steps require judgment. Copying a known value between fields may need no AI at all; classifying a messy free-text request might benefit from it.
Platforms such as Make and Zapier provide ways to connect applications into workflows. The technology can move information, but it cannot decide your business's acceptable error rate or who should handle an unusual case. Make: Visual automation platform Zapier: Workflows
A useful first automation
Consider a contact form that creates a draft internal summary. The workflow receives the form, classifies its subject, and places the original message and draft summary where staff can review them. It does not automatically promise a price or contact the customer.
Classify this inquiry as scheduling, pricing question, technical question, or other. Use only the message. If the category is unclear, choose other. Produce a short summary and preserve any stated date or model number exactly.
Keep the original input beside the AI result. That makes checking and correction easier. If the draft would trigger a later action, validate its format and permitted values rather than trusting arbitrary text.
Test the awkward cases
What happens when the same form arrives twice? What if an email address is missing, a model number contains punctuation, or the connected service is unavailable? What if an input contains an instruction to ignore the workflow's rules? Define the fallback before the first live failure.
Use a unique record identifier when duplicates could cause repeated actions. Avoid uncontrolled retries on payments or messages. Set sensible spending or usage limits. Ensure someone receives useful failure information without exposing sensitive data in logs.
Maintain the workflow
Write down the owner, connected accounts, permissions, and how to pause the process. Review it when a form, policy, or provider changes. An automation can remain technically active while quietly applying outdated business rules.
Measure completed work, review time, and error handling. If the process mainly moves confusion faster, improve the input form or the underlying policy. Reliable automation often begins with a better process description rather than a more capable model.
