Choose a task that occurs often and follows a reasonably stable process. A contact-form summary is a useful example. The workflow can receive a fictional inquiry, classify it, and place a draft in an internal table for review. Keep customer messaging out of the first exercise.

Plan the first scenario

Write down the starting event and the desired result before building. Identify the fields the workflow needs. Define a fallback for missing or unexpected values. Use a small set of sample records that includes at least one ambiguous inquiry.

Classify this fictional inquiry into scheduling, pricing, technical, or other. Return only the category and a one-sentence summary. Use other when uncertain. Preserve the original inquiry separately and do not create a customer reply.

Add a review stage where you can compare the output with the input. If a category controls a later action, allow only the expected category values. Do not let arbitrary generated text become an instruction to another application.

Test the complete path

Run one sample through the whole workflow. Inspect what each step received and produced. Try a duplicate record, a missing field, and a connection failure. Determine whether retrying would duplicate a record or repeat an external action.

Check the permissions of every connected account. A tool may ask for more access than your narrow exercise needs. Use appropriate test accounts or limited access where supported, and remove connections that are no longer part of the workflow.

Decide whether to put it into use

Define who owns the workflow and how to pause it. Make sure failures produce a useful notification to the responsible person. Track usage and any separate charges for connected AI services. Provider limits and billing rules can change, so consult the current plan details.

Measure the completed task, including review and correction time. If the process works only when every input is perfect, improve the intake or narrow the use. Visual automation is most useful when the business rules are clear enough that another person can understand and maintain the workflow.
